Licenses / Maintenances page

Summary

A description of the fields on the Licenses / Maintenances page.

Here you can view, edit, copy, create, publish and delete License and Maintenance entitlements. You can also view any components related to a License or Maintenance and export all the entitlements in the selected repository to a TSV file. You get to this page by clicking the AppClarity→Entitlements→Licenses / Maintenances node in the navigation panel.

The fields on the Licenses / Maintenances page are:

FieldDescription

Entitlement Repository selector

This field lets you select the repository where the entitlements data displayed on the page comes from. By default this is set to Default Entitlements.

If you have created your own entitlements repositories, click on the name to select any of these from the drop-down list.

Report Refresh

You can refresh reports from individual AppClarity screens as well as using the Settings App. Where this is available you can do this by using the refresh icon next to the Last Refreshed box:

Active Entitlements only toggle

The Active Entitlements only toggle adds a filter when it's turned on that filters the table to only display the entitlements that have been published and not the ones that are in draft.

Status filters

The Status filters are displayed in the top-right of the page and let you filter the table according to the status of the items in the table.

Clicking on an icon filters the table to display only items with that status, as described in the following table.

Action Buttons

The following table describes the action buttons displayed on the Licenses / Maintenances page.

New License
Creates a New License. Please refer to New License page for more details.
New Maintenance
Creates a New Maintenance. Please refer to New Maintenance page for more details.
Edit

This button is only enabled when there is a single selection in the Licenses / Maintenances table.

Edits the selected entitlement and opens the Edit License or Edit Maintenance page, depending on the type of the selected entitlement. Please refer to New License or New Maintenance pages for more details.

Publish

This button is enabled when there is at least one selection in the Licenses / Maintenances table.

Publishes the selected entitlements.

Clone

This button is only enabled when there is a single selection in the Licenses / Maintenances table.

Clones the selected entitlement and opens the Edit License or Edit Maintenance page, depending on the type of the selected entitlement, with a clone of the details from the entitlement. Please refer to New License or New Maintenance pages for more details.

Move to Draft

This button is enabled when there is at least one selection in the Licenses / Maintenances table.

Moves the selected entitlements to Draft.

Delete

This button is enabled when there is at least one selection in the Licenses / Maintenances table.

Deletes the selected entitlements.

Components

This button is only enabled when there is a single selection in the Licenses / Maintenances table.

Displays the components for the selected entitlement. If the entitlement has no components the message displayed is Data not available.

Components refer to the bundled software related to a license. For example you may have a bundle for Microsoft BackOffice Small Business Server, which would contain components for Exchange Server, FrontPage, Internet Explorer and Outlook.

Export
Exports all the entitlements currently displayed in the Licenses / Maintenances table as a TSV file. This button takes the filters currently applied to the table into account, but not the sorting or the current selection.

Column Picker


Where the column picker control is shown Column Picker control you can choose which columns are displayed. In the following example on the Microsoft Core License Demand page we hide the Unknown Installs column and move the License Demand column to the left of the page.

To pick the displayed columns:

  1. Click on the Choose columns icon  to the right of the header row to view the visable columns.

  1. To exclude Unknown Installs, select the Unknown Installs row and click Exclude columns button.

  1. The Unknown Installs column is now hidden.

  1. To move the License Demand column to the top of the list, hover your mouse over License Demand and using the direction control drag it to the top of the list.

Licenses / Maintenances table

The following table describes the columns displayed in the Licenses / Maintenances table:

Vendor

The vendor portion of the vendor, title, version and edition attributes that are used to identify which software products the entitlement or agreement is for. For example, Microsoft Corporation or 1E.

You can sort and filter on this column.

Title

The title portion of the vendor, title, version and edition attributes that are used to identify which software products the entitlement is for. For example, Visio or Nomad.

You can sort and filter on this column.

Version

The version portion of the vendor, title, version and edition attributes that are used to identify software products. For example, 11.0.3216.5614 or 6.3.100.0.

You can sort and filter on this column.

Edition

The edition portion of the vendor, title, version and edition attributes that are used to identify which software products the entitlement is for. For example, Standard or - (where no edition is specified or exists).

Type

The Type column displays the type of the entitlement in the table. This can be either License or Maintenance.

You can sort and filter on this column.

Metric

The metric type for a license or maintenance entitlement. This may be one of:

TypeDescription
CoreThe metric for the license is related to the number of cores present on a device. For example, licenses for Microsoft SQL database are related to the number of cores on the server where Microsoft SQL is installed.
DeviceThe metric for the license is for devices. For example licenses for Microsoft Visio are on a per device basis. This is the default type.
OtherThis can be used to reference your own license metric type.
ProcessorThe metric for the license is related to the number of processors for a device. For example, licenses for certain Oracle products are related to the number of processors on the server where the Oracle product is installed.
PVUThe metric for the license is related to the Processor Value Unit present on a device. For example. licenses for IBM products are related to the Processor Value Unit (PVU) for the device where the IBM product is installed.
UserThe metric for the license is related to the users for the product. For example, Microsoft Office 365 licenses are related to users and not the devices the software is running on.

You can sort and filter on this column.

Product SKU

A SKU (pronounced 'skue') is an identification, usually alphanumeric, of a particular product that allows it to be tracked for inventory purposes. In AppClarity, via the 1E Catalog, a SKU is associated with the license metrics and use rights associated with a particular software product purchase.

Quantity

The Quantity column displays the number of licenses covered by the entitlement.

You can sort and filter on this column.

Cost

The Cost column displays the cost for each entitlement in the table.

You can sort and filter on this column.

End Date

The End Date column shows the date the entitlement will end.

Management Group

Displays all of the management groups the software reclaim policy is associated with.

You can sort and filter on this column.

Identifier

Displays the Identifier information configured for the entitlement or agreement.

You can sort and filter on this column.

Displays the Identifier information configured for the entitlement or agreement.

Status

The icon indicates the status of the entitlement or agreement:

Using column sorts


The picture opposite shows an example taken from AppClarity. In our example we want to sort the table on the Cost column from the highest cost at the top to the lowest at the bottom. To sort the table on the Cost column:

  1. Click on the filter icon just beneath the header row in the Cost column.

  1. The sort popup is displayed.

  1. Now select the sort direction. In our example this will be Sort descending.



  1. After selecting this the data in the table is now sorted on the Cost column from highest to lowest and the sort icon has changed to a sort descending icon .


Clearing the sort

You can clear the sort by clicking on the sort icon again and selecting the Clear sorting menu item from the sorting popup.

Column filter

Using column filters

The picture opposite shows an example taken from AppClarity. In our example we want to filter the table to show only those items where the Edition contains the text Prof.

To filter the table on the Edition column:

  1. Click on the filter icon just beneath the header row in the Edition column.

  1. The filter popup is displayed.

  1. Now select the operator. In our example this will be contains.



  1. Then type the text Prof into the text field.


  1. Click Apply and a new filter will be added to the table.


  1. The table will be filtered to just those items whose Edition contains the text Prof.


Adding another filter

You can add another filter by clicking on the filter icon for any of the columns. The picture opposite shows another filter added selecting table rows where the Type also contains the text License. The table will also be filtered accordingly.

Removing filters

You can remove filters by clicking on the filter close icon at the end of the filter.
